Excel Files in WebSked
Overview:
WebSked can create schedule and summary data files that are designed to be opened, viewed, and printed using the Microsoft Excel spreadsheet application. Excel compatible files are created by the following actions in WebSked:
1. Clicking the Print icon on:
* Any Summary or Report screen
* The Timekeeper screens (Confirm Hours, Availability Changes, etc.)
* Any of the Schedules > Swap Meet screens
2. (Admin logins only) Displaying a report created from the All Locations > Reports screen
3. Displaying the Schedules > Individual Schedule screen
Viewing an Excel document
If you can view the files created by the actions described in the Overview section above, you do not need to read this section.
For Windows users:
For users on a PC which does not have Excel installed, click here for instructions for downloading and installing a free Excel viewer from Microsoft.
For Mac users:
For users on a Mac which does not have Excel installed, the completely free Open Office application offers functions similar to the Microsoft Office Suite. The spreadsheet application of Open Office for the Mac OSX allows the display and printing of the Excel compatible files created by WebSked. Open Office settings:
After you have installed Open Office, if WebSked displays and prints the files and screens described in the Overview section above, you do not need to read any further.
A displayed Open Office spreadsheet appears similar to a displayed Excel spreadsheet, but Open Office handles some data differently from Excel. The actual data created by WebSked is in the form of an HTML file, which Excel correctly displays. The default settings of Open Office incorrectly display some of the HTML information in its spreadsheet display as a "comment".
When the WebSked spreadsheet file is displayed in Open Office, if you see what appears to be gibberish displayed on the right side of my screen, you can suppress the display and printing of this unwanted comment if you:
1. Select the "View" menu at the top of the screen.
2. Untick (uncheck) "Comments" from the View dropdown list.
The WebSked created spreadsheet should now display correctly.
