Printing your schedules
Printing schedules from WebSked requires that you have Adobe Reader (or similar program) installed on your computer. If you have not already done this, a free download of the latest version of Adobe Reader is available by clicking on the "Get Adobe Reader" graphic

to the left of the text.
In WebSked, the Master Schedule is sent to your printer as a PDF file. As such, the file can be manipulated in various ways to achieve the desired printed display. In order to understand how to manipulate the PDF file, it is helpful to understand the various components thereof.
When you select the "Print" icon at the top right of your Master Schedule, this screen (below) will display. Notice that there are various components such as paper size, orientation, color, weeks per page, etc.

Each component is explained in more detail below.
Paper
Use the dropdown list box to select the type of paper you wish to use when printing your schedules - Letter, Legal or A4.
Orientation of the paper
Use the option buttons to select either landscape (the schedule is printed with the paper oriented so that its width is greater than its height) or portrait (the schedule is printed with the paper oriented so that its height is greater than its width).
Color
Do you want your printed output in color or black and white? If you have a black and white printer, the choice is obvious.
Weeks per page
Number of weeks/page used for printing global master schedules. (Use to split printing of large schedules across more than one printed page.)
Click on the arrow adjacent to the list box associated with this caption to list the available number of weeks/page that can be used to print your schedule. For example, monthly schedules allow printing of the schedule as one week/page, two weeks/page or three weeks/page. When you make a selection, a message box is displayed informing you of the number of pages that will be required to print each global master schedule. A sample screen display is shown below, displaying the message you would receive if you were creating a monthly schedule and printing two weeks/page. The schedule key option described in the message is explained in the next paragraph.
Print schedule key on
A dropdown list box to the right of "Print schedule key on" gives the following options that are used when printing a Master Schedule.
- On the bottom of all pages means that the schedule key will be printed on all pages of the schedule, accompanying the calendar portion of the schedule that is printed on that page.
- On the bottom of the last page only means that the schedule key will be printed only on the last page of a multipage global master schedule, and not on any earlier pages.
- On a separate page means that the calendar portion of your schedule will fill all of the pages on which it is printed, and the schedule key will be printed on a completely separate page. (This option is useful, for example, if you have a large number of shifts each day and/or a large schedule key; printing the schedule key on a separate page will help ensure the legibility of both the schedule and the schedule key.)
- Not at all (don’t print the schedule key) means that the schedule key will not be printed on any pages of the schedule. Select one of these options to match how you want your schedule key(s) printed.
# of lines reserved for printing comments at the bottom of each day on the printed schedule (enter a number from 0 to 3.)
Entry in this area sets the minimum number of blank lines reserved at the bottom of each day of the calendar to make additional notes on the schedule about other events of the day, such as meetings. Comments for individual providers and comments for all providers can be printed. An entry of '0' lines will prevent printing of any comments while leaving more room for the display of the schedule. An entry of '3' lines will leave plenty of room for comments, but will leave less room for printing the schedule, resulting in a smaller font size used for the printing the scheduled shifts.
Note: The number of lines reserved for display of comments at the bottom of each day is set separately from the number of lines reserved for printing of comments.
Instructions for printing your schedule are given in detail for the Adobe Reader. The concepts are similar for other viewers.
To print your schedule:
- Have the schedule you wish to print displayed in the Adobe Reader.
- Click on the File drop down menu at the top of the screen, then select the Print... option.
- A Print window is displayed. The default options should be satisfactory for printing the schedule.
- Click on OK to print your schedule.
If you can display the schedule, the printing normally is not a problem. If you do have any difficulties, excellent troubleshooting help for problems with downloading and printing PDF documents is available from:
